Migrating from RepSpark Legacy to RepSpark Flow

RepSpark Flow is our next-generation platform that delivers faster performance, enhanced features, and improved user experience while maintaining the core functionality your teams depend on. This guide walks you through the migration process from RepSpark Legacy to Flow.

Migration requests and overview

Our migration process is designed to ensure a smooth transition with minimal disruption to your business. You'll work closely with a dedicated migration specialist who will guide you through each phase, from initial assessment through post-launch support. We handle the technical complexity while keeping you informed and involved in key decisions.

To begin your migration to RepSpark Flow, contact your Account Manager. They will:

  • Submit your migration request to our migration team

  • Connect you with a dedicated migration specialist

  • Schedule an initial consultation within one week

  • Provide an overview of RepSpark Flow's new features and capabilities

Your migration specialist will be your primary contact throughout the entire migration process, ensuring continuity and maintaining context about your specific needs.

Eligibility checklist

To ensure a successful migration, your account should meet the following criteria:

Currently eligible:

  • Standard RepSpark Legacy features and basic customizations

  • Standard integrations (SAP, Shopify, etc.)

  • Standard order validation rules

  • Basic pricing configurations

Not yet supported in Flow:

  • Licensedwear functionality

  • Inference engine features

  • Docs and Marketing modules

  • AR Hub or checkout payments

  • Custom order approval workflows

If your account uses any of the features not yet supported, your Account Manager will discuss alternative solutions or timeline expectations for when these features will be available in Flow.

Migration steps

Step 1: Assessment and Planning

What happens during this step:

Your migration specialist will conduct a comprehensive review of your current RepSpark setup. This includes:

  • Initial consultation call - Overview of Flow features and migration process

  • Customization evaluation - Documenting all your current customizations

  • Categorization of features - Determining which customizations will migrate, need rebuilding, or have new alternatives in Flow

  • Migration plan creation - Developing your personalized migration timeline and approach

What you'll need to provide:

  • Designated team members who will participate in testing and training

  • Critical business dates to avoid

  • Key stakeholder availability for meetings and decisions

Outcome: Approved migration plan with clear timeline and scope

Step 2: Configuration and Setup

What happens during this step:

Our team configures RepSpark Flow to match your business requirements:

  • Plugin migration - Moving your order validation, pricing logic, and other plugins to Flow

  • Customization rebuilding - Recreating necessary customizations in the new platform

  • Integration setup - Ensuring all your integrations work properly with Flow

  • UAT environment preparation - Setting up your test environment with sample data

What you'll need to provide:

  • Approval and collaboration on customization decisions

  • Test scenarios for your specific workflows

Outcome: Fully configured RepSpark Flow test environment ready for validation

Step 3: Testing and Training

What happens during this step:

You'll validate the system and prepare your team for the transition:

  • User acceptance testing - Your team tests all critical workflows in the UAT environment

  • Issue resolution - We address any problems discovered during testing

  • Training preparation - Access to comprehensive training resources

  • Communication planning - Preparing your users for the upcoming change

  • 10-15 hours of testing from designated team members

  • Feedback on any issues or concerns

  • Training schedule for your teams and retailers

Step 4: Launch Configuration

What happens during this step:

We'll work with you to choose the best rollout approach for your organization using our flexible deployment options:

Available rollout features:

  • UI Toggle - Users can switch between Legacy and Flow during the transition period

    • Can be configured at role or division level

    • Allows gradual adoption at users' own pace

  • Default Version Control - Set whether users land in Legacy or Flow by default

    • Eliminates need for individual users to manually switch

    • Can be configured at role or division level

  • Beta Role Access - Grant Flow access to specific users first

    • Perfect for pilot programs with power users

    • Other roles remain on Legacy until you're ready to expand

What you'll need to provide:

  • Decision on rollout approach

  • List of pilot users (if using Beta role)

  • Preferred launch date and time

Step 5: Go Live
